Bristol Riverside Theatre is a mid-sized regional theatre whose mission is to engage audiences and artists alike with exceptional performances, inspired writing, and superior productions that motivate us to think harder, to feel more deeply, to laugh more joyfully, and to reflect on ourselves and the world in which we live. Located in the historic district of Bristol Borough, the theatre has a full-time staff of 13 employees and sits in a beautiful park set on the banks of the Delaware River. We offer over 200 performances per year including 5 mainstage theatre productions, 3-8 presented theatre productions, and 4-8 concerts.

DESCRIPTION

Do you love details, calendars, organizing, and proofreading? Do typos drive you up a wall? Have you not missed a single deadline in your whole life? We seek a detail oriented, diligent, organized, and oxford comma happy coordinator and assistant. The Grant Coordinator and Executive Assistant works with the Senior Director of Relationships, the Co-Producing Directors, and the General Manager on the theatre’s fundraising campaigns and administration. This position is an integral part of a 13-person team.

ROLES AND RESPONSIBILITIES

The Grant Coordinator and Executive Assistant performs the following duties:

  • Schedules meetings with trustees, donors, committees, and staff
  • Attends meetings, takes and distributes notes, follows up on action items
  • Manages the grant calendar and ensures all deadlines are met
  • Ensures the complete and professional submission of grant proposals (including gathering attachments, filling in basic information, and reporting on data).
  • Assists in the writing of grant proposals.
  • Proofreads proposals, appeals, pitches, and reports (including budgets and financials).
  • Researches potential individual and institutional funders and briefs staff and trustees.
  • Ensures donor and sponsor benefits are fulfilled
  • Independently renews corporate sponsorships up to $10,000
  • Maintains Tessitura database records

DESIRED TRAITS, EXPERIENCE, AND QUALIFICATIONS

The desired experience and qualifications for this position include:

  • Outstanding organization skills
  • Outstanding proofreading skills
  • Database experience (Tessitura experience preferred)
  • High level of attention to detail
  • Advanced user of Microsoft Word, Powerpoint, and Outlook
  • Basic user of Microsoft Excel (including creating charts and writing simple formulas)
  • Facility with Google docs and sheets
